Working with departmental colleagues, once the need has been confirmed and the appropriate departmental approvals and job evaluation processes are complete, the role can progress through the recruitment workflow.

By capturing the rationale for the position within SuccessFactors, the system helps ensure that requests are recorded clearly and routed through the correct approval process.

Creating a new position

Hiring managers or authorised departmental administrators can create a new position directly within SuccessFactors by accessing the Position Org Chart and completing the required information. Existing role information can be reviewed, and the position request can be saved and submitted for workflow approval.

This digital process provides a clear audit trail and allows everyone involved to monitor the status of the request, while automated notifications help keep the process moving efficiently.

Once a position has been approved, hiring managers or departmental administrators can create a job requisition and prepare the advert using the role description and agreed assessment method. SuccessFactors allows users to complete the required fields, add supporting details where needed, andsubmitthe advert for approval.

Shortlisting candidates

Applications are received directly through SuccessFactors, enabling hiring managers, departmental administrators, and shortlisting panel members to review candidates in one central location. The system also supports the management of pre-employment checks, including references, right-to-work verification, occupational health checks, and qualification or professional membership verification where required. Progress can be monitored through applicant status updates.

Preparing a new starter for day one

After the offer has been accepted and pre-employment checks are underway, hiring managers and departmental colleagues can complete onboarding tasks within SuccessFactors to help prepare the new starter for their first day.

These tasks may include:

  • Writing a welcome message.

  • Assigning a buddy.

  • Recommending key people and useful links.

  • Requesting IT equipment.
